SUMMARY

 

Under general supervision, supports the development, implementation and maintenance of fixed asset control, trains district staff on related processes and procedures; and prepares a variety of compliance reports. Assists the Director of Procurement in the administration of purchasing by maintaining a fiscally sound procurement system by which supplies and materials are properly purchased, received, recorded and distributed.

Essential duties and responsibilities may include, but are not limited to, the following:

 

  1. Assists in obtaining written quotations from prospective vendors for warehouse related
  2. Maintains master inventory database, generates catalog, reports and pick tickets for
  3. Responsible for receiving, stocking, order picking and delivery of warehouse supplies to all district
  4. Prepares purchase requisitions for supplied needed to maintain sufficient on-hand supplies for
  5. Responsible for taking physical inventory and verification of inventory counts and control
  6. Maintains adequate supplies and keeps stock supplied at
  7. Assists in resolution of problems and follows up on written quotations with
  8. Takes action as authorized during the Director of Procurement absence and uses initiative and judgement to determine when matters are referred to appropriate staff persons or handled in a manner to minimize the effect of the absence of the Director of Procurement.
  9. Evaluates warehouse product quality to ensure district receives products to meet needs at a competitive price.

  11. Responsible for procuring diesel and gasoline fuels to maintain levels that meet district bus and fleet needs.
  12. Enters and monitors all assets on District Finance Accounting System in Fixed Assets
  13. Responsible for review of account coding on requisitions pertaining to fixed asset
  14. Works with consultants to set useful life, depreciates all assets and provides reconciliation documents and depreciation schedules.
  15. Utilizes software applications to optimize accounting, reconciling, reporting, and communication functions.
  16. Perform timely physical inventories and schedules regular internal audit reviews.
  17. Responsible for identifying, tagging, tracking, and disposing of General Fixed Assets (GFA) and maintaining an up to date, accurate database.
  18. Develops, implements, and analyzes District property control procedures; maintain the inventory control process that will ensure compliance with District policies and procedures, procurement code, USFR, and any state or federal laws or regulations while concurrently providing fiscal accountability.
  19. Responsible for pick up, storage, and inquiries from staff regarding surplus equipment for potential disposal or reuse within District.
  20. Maintains a high level of ethical behavior and confidentiality.
  21. Other duties as assigned by the Director of Procurement.

MINIMUM QUALIFICATIONS

 

Education, Training, and Experience Guidelines

  1. Shall have two years of experience in a directly related position or two years of college classes taken.
  2. Previous experience working with students preferred but not necessary.
  3. Physical ability to perform assigned duties.

Knowledge of:

  1. District and Department policies and procedures;
  2. Pertinent local, state and federal laws, ordinances, codes, and rules.

Skill in:

  1. Ability to communicate effectively, both verbally and in writing with community, Board, students and staff members.
  2. Ability to operate forklift.

LICENSE AND CERTIFICATION REQUIREMENTS

 

A valid Arizona Driver's License required.

 

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

 

The position requires the individual to meet multiple demands from several people and interact with public and staff. Ability to lift average to heavy weights, bend, stoop, reach, and climb required.
